Accountants: answer marketplace reconciliation questions

An accounting firm's ecommerce page can show a complete bridge from gross collections to a bank deposit, with the dates and unmatched items visible. The example below is arithmetic readers can check themselves. It explains a bookkeeping task, not taxable income or GST treatment, and avoids treating a payout total as the same thing as sales revenue.

ORIGINAL WORKED EXAMPLE · NOT CLIENT DATA

Worked payout bridge — AUD, one settlement batch

Invented batch P-DEMO: 1–7 October collections; bank deposit on 9 October. All amounts are in AUD. No FX, chargebacks, reserves, tax allocation or opening balance. These are inputs, not Shopify fee rates.

Worked payout bridge — AUD, one settlement batch
LineAmount / calculationDocument to match
Gross customer collections+ $10,000Transactions included in P-DEMO, not all orders created that week.
Refunds in this settlement− $800Refund references and their settlement dates.
Processing fees− $250Batch fee entries; do not infer the rate from another store.
Expected payout$10,000 − $800 − $250 = $8,950Payout report total for P-DEMO.
Actual bank deposit$8,950 on 9 October; difference $0Match bank date, amount and reference, not amount alone.
Alternative: bank shows $8,850Unexplained difference $100Check adjustments, currency and settlement reference. Do not invent an expense to force a match.

The matching deposit arrives two days after this sample period ends; compare the settlement reference before alleging missing money. A $100 difference is an exception to investigate, not automatically theft, tax or a processing fee.

Use it in a real project

  1. Choose one payout reference and export its included transactions, refunds and fees.
  2. Keep transaction date, settlement date and bank date in separate columns.
  3. Recalculate the bridge, record every unexplained difference and have the accountant review accounting and tax treatment separately.

Review before publishing

  • Does the arithmetic reach $8,950?
  • Are all entries from the same settlement batch?
  • Are tax conclusions explicitly outside the example?

Turn the evidence into a useful page

Use a payout service page with this bridge, an exception example, required report names and a secure intake explanation. It gives a business owner a concrete preparation task before a consultation.

A minimal enquiry brief

Start with platform names, currencies, transaction-volume range and the unresolved period. Share financial exports only through the accountant's approved secure process; never publish bank account numbers.

An AI follow-up to test the answer

Our marketplace deposits do not match sales totals. What should we prepare before hiring an accountant?

This is a simulated question, not an observed ChatGPT, Gemini or Claude answer or recommendation. A useful answer should point to the worked resource and disclose its limits, not invent a preferred supplier.

Questions worth resolving

Is a payout the same as sales revenue?

Not necessarily. Fees, refunds and timing affect this cash bridge; revenue recognition and tax need separate treatment.

Are processing fees refunded with a Shopify Payments refund?

Shopify's current guidance says the original credit-card processing fee is not reimbursed. Check the actual payout entries; do not reuse this sample fee amount.

Sources, evidence and limits

Shopify Help Center — Shopify Payments refunds

Shopify says refunds affect payouts and original credit-card transaction fees are not returned when issuing a refund.

Shopify Payments only; this does not establish other gateways' rules, actual fees, tax treatment or the fictional totals.

What is still unknown

No private client records, live supplier capabilities or verified commercial results were supplied for this resource. Replace examples only with authorised, current evidence. Source-backed guidance does not certify a business, guarantee compliance or establish a search ranking.

Measure outcomes without overclaiming

Track the landing URL, relevant queries and qualified enquiries separately. A download is use of a resource, not a client. Record consultations and confirmed orders only when separately evidenced; neither GSC impressions nor an AI mention proves a sale.
