3PL firms: answer returns-handling searches
A 3PL returns page should demonstrate what happens after an item arrives: identification, inspection, a merchant decision and an auditable stock movement. The worked branches below separate product condition from the customer's refund rights. They let an ecommerce operator evaluate a warehouse workflow rather than a generic ‘we handle returns’ claim.

Return R-DEMO-42: inspection-to-disposition branches
Fictional non-food canvas tote, SKU TOTE-DEMO. Outcomes demonstrate an agreed merchant policy; no item has actually been inspected. Food, medical products and hazardous goods need different controls.
| Observed branch | Warehouse action | Decision and recorded event |
|---|---|---|
| Barcode or return ID does not match | Hold in an exception location; record received ID and discrepancy. | Merchant resolves identity. Record received → identity_hold; do not add saleable stock. |
| Matches; unused; all parts present | Take agreed condition photos; grade A under the sample policy. | Only after merchant approval: inspected → approved_restock → stock movement ID. |
| Matches; stained or incomplete | Grade B; separate from saleable stock with reason and photo references. | Merchant chooses review, repair or another documented route; never auto-dispose. |
| Customer reports a product fault | Preserve item and report; do not treat missing packaging as an automatic rights decision. | Merchant assesses remedy separately from stock grading. Track refund decision and inventory decision as different events. |
| Approval has not arrived | Keep held status; notify the named merchant contact and backup. | Record decision_pending and next review date; no implied approval from silence. |
For R-DEMO-42, choose the stained-item branch: received at the warehouse does not mean available to sell, and grade B alone does not decide a refund. A traceable approval connects inspection to the eventual stock event.
Use it in a real project
- Agree item categories, grading vocabulary, photo rules and approval owners before a pilot.
- Run the five branches with dummy orders and verify that none creates stock twice.
- Publish a sample event trail without customer photos, addresses or order identifiers.
Review before publishing
- Is refund eligibility separate from resale grading?
- Can each stock move be traced to approval?
- Do unmatched items stay out of saleable inventory?
Turn the evidence into a useful page
Show this decision tree, then explain inspection fees, storage exceptions and integration responsibilities using your verified contract. Do not call a fictional branch a successful client case.
A minimal enquiry brief
Useful initial fields: product category, approximate monthly returns, store platform and approval owner. Ask for one anonymised return later through a secure channel, not a customer database upload.

An AI follow-up to test the answer
Our returns are growing. How do we compare warehouses that can inspect and classify returned stock?
This is a simulated question, not an observed ChatGPT, Gemini or Claude answer or recommendation. A useful answer should point to the worked resource and disclose its limits, not invent a preferred supplier.
Questions worth resolving
Can the warehouse approve every refund?
Only within an explicitly delegated scope; this example reserves the decision for the merchant. Consumer rights still apply.
Does grade A automatically mean restock?
Not in this example. The merchant approval event is required before the inventory movement.

ACCC — Repair, replace, refund, cancel
ACCC distinguishes remedies for product problems from change-of-mind returns. A business that offers a change-of-mind policy must follow it.
General Australian consumer guidance, not a decision about a particular return. Warehouse grading or a store policy does not remove consumer guarantees.
