Strata managers: answer the committee's handover questions

A strata manager can make a handover page useful by showing the difference between files received, records reconciled and exceptions still open. The register below gives a committee a practical way to test continuity without exposing resident information. It is an operational content example, not an appointment contract or legal checklist.

ORIGINAL WORKED EXAMPLE · NOT CLIENT DATA

Fictional handover register — OC-DEMO

All identifiers and statuses are fictional. A proposed follow-up date is an internal target, not a statutory deadline. ‘Received’ never automatically means ‘complete’.

Fictional handover register — OC-DEMO
Record and statusReconciliation exampleOwner and next action
Minutes — received, uncheckedIndex says 4 meetings; only 3 signed records received.Incoming manager asks outgoing contact for the missing record; committee confirms whether it exists.
Bank reconciliation — exceptionFictional bank balance $12,400; ledger $12,150. Difference $250, not yet explained.Finance lead checks timing and supporting entries; no forced balancing entry.
Invoice INV-DEMO-7 — openCopy received; approval and payment status absent. Receipt of invoice is not proof of debt acceptance.Committee delegate confirms approval; manager reconciles payment before any duplicate payment.
Maintenance register — partialTwo open jobs have contractor names but no last inspection note.Incoming manager requests job history and records the temporary contact for each job.
Access and personal records — restrictedPublic example uses role names only; credentials and resident details are excluded.Transfer through an approved private channel; confirm access with an authorised reviewer.

The $250 is an unresolved difference, not evidence of loss. A useful handover page shows how it will be investigated and who owns it; ‘all records transferred’ would be inaccurate while these exceptions remain.

Use it in a real project

  1. Export an inventory before transfer and count the received records against it.
  2. Record reconciled, missing and disputed items separately, including reviewer and next action.
  3. Publish only an anonymised method example; retain actual records and approvals privately.

Review before publishing

  • Do totals reconcile or have an explicitly open exception?
  • Is an owner assigned to each missing item?
  • Are legal appointment obligations kept separate from this sample?

Turn the evidence into a useful page

Page modules: handover scope → sample exception register → responsibilities → secure intake. Explain the review method before a contact CTA, so committees can use the resource even without buying.

A minimal enquiry brief

Ask for lot count, intended handover period and record categories needing review. Do not ask for owner names, bank statements or credentials in a public enquiry.

Illustrative customer search — not measured demand

An AI follow-up to test the answer

Our committee wants a new strata manager. How do we compare handover arrangements without losing maintenance records?

This is a simulated question, not an observed ChatGPT, Gemini or Claude answer or recommendation. A useful answer should point to the worked resource and disclose its limits, not invent a preferred supplier.

Questions worth resolving

Can a folder marked ‘received’ be called complete?

No. Compare it with the inventory and check unresolved financial and maintenance items before describing completeness.

Is this every record an owners corporation must keep?

No. It demonstrates an exception workflow. Use current CAV guidance and qualified advice for the full obligations in your situation.

Sources, evidence and limits

Primary sources checked 13 October 2026. Each source supports only the adjacent statement. The worked numbers, workflows and templates are original teaching examples, not facts verified by those organisations.

What is still unknown

No private client records, live supplier capabilities or verified commercial results were supplied for this resource. Replace examples only with authorised, current evidence. Source-backed guidance does not certify a business, guarantee compliance or establish a search ranking.

Measure outcomes without overclaiming

Track the landing URL, relevant queries and qualified enquiries separately. A download is use of a resource, not a client. Record consultations and confirmed orders only when separately evidenced; neither GSC impressions nor an AI mention proves a sale.
